Hotel and Travel Information

Each chapter should plan to send one voting delegate to convention as described in Article II, Section 2.4 of the Society Bylaws. The Society will pay for coach economy airfare and applicable hotel stay (up to three nights) for one voting delegate per chapter. The chapter is responsible for paying the event registration fee for its delegate as well as any ground transportation costs. No cost associated with convention should be the personal responsibility of the chapter delegate.

A hotel reservation booking link and instructions will be emailed to each delegate once registration has been completed. The national office has arranged to charge room and tax charges only to the Society’s account for each chapter’s voting delegate for a maximum of three nights. Nights covered will be Wednesday, Thursday and Friday. Any room booked without our customized link will not be eligible for reimbursement.

Reservations must be guaranteed by a valid credit card at the time of booking. A deposit of one night's stay plus tax is due at booking. The deposit will apply to the reservation until you check out. Any unused funds will be refunded to the card used to book the room upon departure. Any guaranteed reservation not canceled 72 hours prior to the arrival date will be subject to a one-night room and tax cancellation fee. The Society will not cover this cancellation fee.

The group room rate is $184 per night plus tax and includes the resort service fee. The room block is available until Wednesday, July 13. Extended stay rates may be available July 31-Aug. 10, 2022. Any additional nights, room upgrades, or incidental costs will be the responsibility of the delegate.

We have partnered with Options Travel to provide airfare booking services for each delegate. Once we have received your registration, you will receive a link from TempoTrip to make your flight arrangements. Travel policies have been established with TempoTrip that will only allow economy airfare purchase. Due to the timing of the convention election, return travel cannot be scheduled any earlier than 2:30 PM ET on Saturday, Aug. 6. Flight costs will be charged to the Society, so there will be no need to submit airfare reimbursements

The deadline to book a flight through Tempo Trip is Wednesday, July 20 at midnight. At that time, access to Tempo Trip will be turned off and you will need to purchase a flight on your own. The national office will reimburse you up to $500 for this flight. Ground transportation, airport and hotel parking, meals not included during the event, and airline baggage fees are not covered by the Society. These expenses should be reimbursed after the event from chapter funds. Please note that all non-delegate travel expenses are completely the chapter’s responsibility.
