Invitation Checklist
Below is a checklist to help make sure that the membership invitation process goes on smoothly. If you have any additional questions, see the invitation FAQ.
Creating Your Membership List (60-90 days before ceremony)
- Obtain the ranked list from registrar or appropriate university official
- Eliminate any transfer students or any student with fewer than 24 hours at your institution
- Purge any previously inducted Phi Kappa Phi members
- Calculate the following:
- Top 7.5% of juniors
- Top 10% of seniors/graduate/professional students
- Vote on prospective candidates, faculty/staff and alumni Members
- Invite appropriate university officials to ceremony
Invitation to Membership Mailing (45-60 days before ceremony)
- Include in Invitation to Membership a letter from the President/Provost/Chancellor/Dean
- E-mail students prior to mailing announcing their invitation is in the mail
- Make sure invitation contains local contact names and numbers should any questions arise
- Use local chapter address on a return label, so candidates see that the invitation is coming from their school
- Include invitation to parents, spouses-when possible
- Invitation to membership mailing should have detailed instructions with a clear deadline for returning materials
Response Time
- Prepare to answer questions from local candidates
- Order supplies from Headquarters
- Send reminder e-mail (prior to the local deadline) to all candidates who have not responded
- Prepare an ad in the school paper announcing the names of candidates selected/or those accepting the invitation (Publicity Coordinator at Society Headquarters can provide templates and PR support.)
- If Headquarters staff is printing certificates, please submit your information three weeks in advance of your initiation.
- Collect all the required forms and send to Headquarters.
